Security & data
A clear approach to access and data.
A practical overview for organisations considering SmartBay.
Access that follows responsibility
Staff access is assigned through organisation and warehouse roles. Administrators manage access for their teams. External booking access and customer schedule visibility are separate, controlled permissions.
Separate organisations and customer views
SmartBay logically separates organisation data and checks permission at the service boundary. Authorised warehouse staff have the operational view for their warehouse. Customer viewers see only their permitted customer scope; booking parties see only their own authorised bookings. A shared link does not itself grant access to private records.
Secure account access
Account authentication and email verification protect access. Staff sign-in and external booking verification serve different purposes, and external verification does not grant staff permissions. Keep account credentials secure and review team access when responsibilities change.
Resilience and maintenance
Discuss backup and recovery arrangements with us against your organisation’s requirements before rollout. Maintenance, updates and security work help support reliability and may affect availability. Contact us to discuss your resilience requirements; this overview does not set recovery times or service-level commitments.
Responsible service providers
We use carefully selected specialist service providers to help operate SmartBay. They process information only where necessary to provide their services and under appropriate contractual safeguards.
